DESCRIPTION

Amazon is seeking a self-driven, highly organized, resourceful, and proactive Executive Assistant to support the Finance Operations, Business Partnership team.

The Business Partnership organization provides strategic finance support in the areas of procure to pay, revenue to receipt, hire to retire, and real estate and facilities. This team engages deeply with new and emerging business to ensure operational readiness of solutions, partners with business and technology teams to deliver accurate and scalable processes, and works closely with remote Service Center teams to provide best-in-class operational support.

You will act as a seamless extension of the VP, partnering closely with stakeholder across the company. Importantly, this role has frequent interaction with business and technology leaders, support teams, and Executive Assistants at the highest levels in the company.

You will be an experienced and proactive planner with the demonstrated ability to respond effectively and efficiently while maintaining great flexibility and a sense of humor. Key to the position are exceptional verbal and written communication skills and the ability to switch gears on short notice. You will be comfortable operating in a fast-paced, goal-focused environment, and possess an ability to navigate complex areas with limited supervision.

A high level of integrity and discretion in handling confidential information and maintaining data privacy is also critical to success, as is professionalism in dealing with senior leadership and peers alike. You will be someone with a strong sense of handling projects independently with sound judgement, who wants to build a trusting, long-term partnership with business leaders.

This role is to be based in Seattle, WA and requires five (5) days a week in office.

Key job responsibilities
- Manage complex calendars and scheduling to support teams in multiple locations and time zones
- Track and help drive completion of key deliverables and follow up on action items (including meeting notes and action items)
- Organize, prioritize and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner
- Coordinate global schedules and seamless meeting logistics, such as video conference and conference calls for internal and external meetings, staff meeting agendas, all-hands meetings, off-sites, etc.
- Work closely with the leadership team, recruiting and other Executive Assistants to provide support to the organization
- Document writing, editing, and readiness
- Ensure accurate archiving of departmental data on appropriate sites
- Management of team space, including moves and reconfiguration
- Expense reimbursement including report coordination, submission and issue tracking
- Have fun and help others do the same

BASIC QUALIFICATIONS

- 5+ years of senior level leadership support, or 3+ years of Amazon experience
- High school or equivalent diploma
- Experience with Microsoft Office products and applications
