Job Description

Job Title: Bilingual Administrative Assistant (English/Spanish)
Location: Coral Gables, FL (Must live within 30–35 minutes of the office in typical traffic)
Industry: Private Equity

Position Overview:
We are seeking a highly organized, polished, and proactive Administrative Assistant to support the day-to-day business and occasional personal needs of a senior executive and his spouse. This role requires someone who can seamlessly juggle traditional administrative duties with personal assistant responsibilities in a fast-paced, professional environment.

The ideal candidate will possess a strong sense of urgency, excellent communication skills in both English and Spanish, and a confident, service-oriented mindset. This is not a typical desk-bound admin role—your adaptability, reliability, and willingness to assist wherever needed will be critical to success.

Key Responsibilities:

  • Maintain a professional demeanor and appearance at all times, representing the executive with discretion and poise

  • Answer and direct phone calls, take messages, and manage email communications

  • Handle scheduling, calendar management, and appointment coordination for business and personal matters

  • Assist with travel arrangements, reservations, and logistics for the executive and his spouse

  • Prepare reports, presentations, and correspondence with a high degree of accuracy and professionalism

  • Coordinate errands, personal appointments, and household-related tasks as needed

  • Maintain organization of files (digital and physical), documentation, and confidential records

  • Monitor deadlines and follow up on action items with precision and timeliness

  • Serve as a liaison between the executive and internal/external contacts

  • Support special projects and ad hoc requests with a flexible, can-do attitude

Qualifications:

  • Fluent in both English and Spanish (spoken and written)

  • Highly professional communication and interpersonal skills

  • Strong organizational skills with the ability to manage multiple priorities efficiently

  • Reliable and resourceful with excellent follow-through

  • Must have reliable transportation and be able to travel locally for errands or meetings

  • Previous experience supporting senior executives or working in a high-level administrative capacity preferred

  • Proficiency with Microsoft Office Suite, calendar software, and general office tools

  • Resides within a 30–35 minute commute to Coral Gables in typical traffic conditions
